How many people can give a detailed explanation of the inner workings of their mobile phone? Who stands around at parties explaining how cellular data is transferred or what happens when you flip on a light switch? The whole point of modern conveniences is to be convenient. We need to be able to rely on them to do the job that’s asked without a lot of support and direction from us, the humble user. Imagine if your office technology worked the same way.
Ask most small business owners and they’ll tell you that what they want isn’t bells and whistles but easy to use technology they can rely on day in and day out. Xerox listened to those demands and created the new WorkCentre® 6515 Color MFP (multifunction printer) with the small business owner in mind.

Natively digital experiences are the future of work

We’ve all heard the buzzwords, but what does this actually mean? And how does this translate to the organizations we lead or support?
I hosted a panel on this exact topic at the Gartner Symposium on Monday, accompanied by my colleague, Victoria Bellotti, a research fellow and social scientist at PARC; Gytis Barzdukas, head of product management for Predix at
GE Digital; and Gillis Jonk a partner alumnus and independent strategy consultant for A.T. Kearney.
The future of our organizations and a growing percentage of our customer bases are considered digital natives – those born or brought up during the age of digital technology, individuals who are comfortable with technology and who expect businesses to evolve with technology capabilities and trends. And these digital natives expect businesses to be natively digital, where services are mobile first, always connected, context-aware and personalized.

However, creating a natively digital experience for your company isn’t about taking an old process and digitizing it. It’s about observing your business, evaluating it and looking at the whole thing differently. CIOs need to look at technology through a different lens and adapt a new mindset.

Think back to the days before Uber. This company completely shifted the approach to transportation. They started by taking a look at the whole problem of mobility and completely restructured it. Businesses that are born natively digital – like Airbnb, Netflix, Amazon and Square – have been able to completely revolutionize the industries they play in. Four steps to help your small or medium-sized business go digital by cutting your ties to paper

Has your organization started its paper-to-digital transformation yet? If you haven’t, you’re not alone. Many organizations have put this off because they just don’t know where to start. The whole idea of digital business is overwhelming – but urgent.
When processes are paper-based, employees can’t easily access information or share it across groups, especially when teams are distributed or mobile. Paper puts barriers between people and their work processes, and between different functions within the organization, resulting in dreaded “silos.”
More than 80 percent of small/mid-size businesses (SMBs) want to cut paper out of the way they invoice, report financials, manage legal and human resource forms, and handle other time consuming processes, according to a recent Xerox survey.
The survey of more than 1,000 international SMB companies shows respondents expect to make the change during the next 12 months. Nearly half (46 percent) of respondents confirmed that a significant amount of time is wasted on paper-intensive processes and 6 out of 10 view this as having a major impact on their bottom line.
So what’s the problem? Research continually confirms that one of the main roadblocks to digital transformation (DT) is deciding which processes to transform. The vast number of processes in a typical business makes the whole notion of becoming a digitally enabled organization unnerving.

The Competitive Edge of Managed Print: Are Small Businesses Missing out?

Small and medium-sized businesses (SMBs) are the backbone of the Canadian economy—representing the vast majority of businesses in our country. However, the typical SMB usually has to deal with a limited budget and IT resources. Small/Mid-size Businesses Admit Paper Processes Waste Time – 8 out of 10 Pledge to Change in 2017

Xerox international research reveals nearly half will turn to office equipment resellers for help with paper-free solutions
More than 80 percent of small/mid-size businesses (SMBs) want to cut paper out of the way they invoice, report financials, manage legal and human resource forms, and handle other time consuming processes, according to a Xerox survey.
The survey of more than 1,000 companies in the United States, United Kingdom, France and Germany shows respondents expect to make the change during the next 12 months.
Nearly half (46 percent) of respondents confirmed that a significant amount of time is wasted on paper-intensive processes and 6 out of 10 view this as having a major impact on their bottom line. SMBs in Germany (51 percent) and the United States (50 percent) cited they spend the most time, followed by the United Kingdom (43 percent) and France (37 percent).
As SMBs prepare to digitize their paper processes, most will turn to experts for recommendations since only 1 in 5 respondents are aware of existing paper-free solutions in the market. The study shows that 47 percent will go to an office equipment dealer, 1 out of 4 will look to their IT reseller and 37 percent will turn to the product manufacturer.
“Change can be overwhelming for SMBs, but there are many ways to evolve in the right direction,” said John Corley, president, Channel Partner Operations, Xerox. “As SMBs embark on their digitization journey, it’s important to understand how technology – such as apps on printers and managed print services – can support their vision and strategy to achieve successful digital transformation.”

You lock your car… but what about your data?

The average Canadian doesn’t think too much about security in their day-to-day lives. We lock the door when we leave the house in the morning, and we may even have a house alarm. Of course we lock the car, but we’re a little annoyed by those security patches IT installs on our computer that cause us to have to restart – always at the most inconvenient times.
But what about the rest of our valuables that need protecting? I’m talking about data – the 2.5 quintillion bytes of data we produce every single day. The type of data that houses our personal information, company competitive information, banking records, passwords, customer accounts – and a host of other information that cyber-thieves would love to get their hands on.

Cyber-theft is a huge and growing problem for Canadian businesses of all sizes. A 2016 survey conducted by Toronto-based systems integrator Scalar Decisions Inc., reported that businesses receive an average of 40 cyber-attacks each year – and that number is on the rise. One vulnerability is all it takes. Protect all access points to your data including your networked printers.

Is the Paperless Office Still a Dream?

In the earliest days of technology, we were promised that in the future, we’d all be living in a paperless world. No more stacks of paper, everything documented electronically, it would be Nirvana! Well flash forward to today and most business owners are still surrounded by paper clutter.

It’s a normal part of doing business. Faxes, invoices, bills, legal documents, memos and manuals all piled up, filed away or just thrown about. Every piece needing to be managed, read, filed, retrieved, scanned and disposed of. This cuts into company profitability and is a symptom of inefficiency.  In fact, a Coopers and Lybrand study found that 20 – 40% of a worker’s time is wasted searching for documents.

So why are so many businesses still relying on paper and not switching over to a paperless office? Here are a few of the most common reasons:

1.  Bad Habits – Employees have developed normal habits revolving around these devices and 90% of companies that can benefit from the paperless office are still tied to the old methods of print, copy, file. Employees who are exposed to and use secure libraries of indexed, searchable and sharable electronic documents and data find that paperless saves time and hassle. They welcome the change.
2.  Analysis Paralysis – When companies understand the scope of digitizing all of their documents paralysis often sets in. As a result, this task often gets put on the back burner, despite the benefits. Document capture has advanced to the point where the time needed to digitize, capture and manage data has been greatly reduced. Protecting your business, your network and your data in 1-2-3

When sensitive documents are left on an output tray of a multifunction printer (MFP), it can clearly present a security risk. However, it is important to understand that these devices are capable of so much more than standalone photocopiers of days past. They have evolved into highly sophisticated devices that include embedded web servers and offer the ability to connect with a variety of host applications and cloud-based services.

Given the amount of sensitive data that passes through MFPs on a daily basis, they have become the target of malicious hacks and data breaches. Fortunately, there are several steps that you can take avoid such a disaster:

User Authentication – Many companies are choosing to add authentication to their MFPs such as passwords, swipe cards or features such as secure print to ensure that the document isn’t output until the user is standing at the device. Varying levels of access can be granted at the MFP such as blocking certain employees or guests from more sensitive material, higher-level functions or server-level access. By securing your MFP, you can create an audit trail to help ensure that your confidential documents are not being inappropriately distributed.

Secure Mobile Printing – There’s certainly a demand for mobile printing, but it’s important to consider the security risks that this could present if you were to allow this capability. Some best practices would be to require user authentication and restrict access for certain users. Create a policy outlining who can, and can’t, access your network and utilize the authentication measures as mentioned above to ensure your data stays safe.
