Boosting Productivity with Digitization

Guest Post by Stephen Brennan, President, Hub TGI
I’m pretty sure that after one quick look around your office, you will know everything you need to know about paper: it’s everywhere. Chances are, right now, there is a collection on top of each desk or work surface with more stored inside storage cabinets and file drawers. In an effort to become more eco-friendly, many organizations have adopted procedures for recycling, purchasing more products made from recycled materials, and implementing rules for printing to reduce paper usage, but the problem still remains. Fortunately, there is an answer to this ongoing challenge: digitization.

Digitization, in the form of Electronic Content Management, can help to alleviate the burden typically associated with hard copy documents including copying, filing, document retrieval, theft and loss. Three key benefits include:
Increased Productivity. Document management requires a great deal of time and effort, from creation to storage, which could be better spent on other aspects of your business. Converting hardcopy documents to digital for secure storage in the cloud instantly increases productivity as employees are able to locate the documents they need with the click of a button. Business owners can easily view the activities of each department helping to determine which areas may require assistance. Great strides can be made in customer service as information can be readily located.
Improved Security. Paper records may be damaged, stolen or destroyed in the event of a natural disaster such as fire or flood. Digitizing documents is a solution to these potential issues, and with multiple layers of security and routine backups, your information remains safe and confidential.
Enhanced Collaboration. The popularity of the mobile workforce is rapidly increasing thanks to the variety of mobile devices that allow for […]

Four Signs you Need to Upgrade your Print Technology

By Bill Michael
When you’re running a busy print shop, it’s easy to be so focused on getting the work out that you don’t have the time to look at the bigger picture and ask some important questions.

How has the market changed? Are you keeping up or falling behind? How do you stack up against the competition? Does your business model still make sense? Where will you be in a year – or five years?
Often, the answers to these and other questions come down to the technology you’re using. After all, you’re only as productive, efficient and competitive as your press(es). And if you haven’t upgraded in the last few years, you may be missing out on new business, or new opportunities with existing clients.
Let’s look at four signs indicating it may be time to upgrade your print technology.
1. You’re selling on price
In recent years, there’s been a lot of downward price pressure in the print market. The emergence of online print shops, with lower costs, bigger client bases and faster delivery times often means that you’re forced to compete on price.
You may be at risk if you’re doing a lot of labor-intensive, low-value work – jobs that could potentially migrate to the web. Online print shops’ high-volume, low-margin model means they can usually undercut you on price for this type of work.

But it’s not just online competition. Your competitors may also be selling on price to retain market share, forcing you to adopt the same strategy. That’s a race to the bottom that rarely ends well.
The answer is to differentiate yourself, offering value-added services that neither online nor offline competitors can match, delivering premium print jobs at premium prices. You could become a valued […]

National Inventors’ Day: Michelle Chretien: Making the Un-makeable

By: Halle Smith
With National Inventors’ Day coming up on February 11, we celebrate our innovators’ ingenuity and ability to solve problems in ways that truly make a difference. Meet Xerox’s Michelle Chretien – she’s making the un-makeable.
“I had a discussion once with someone who said innovation is now largely about software. They said, ‘Well, look at Silicon Valley.’ I said, ‘Yes, silicon! It’s a material.’ Materials are an enabling component of just about everything.” – Michelle Chretien, Manager, Materials Science and Program Manager, Strategic Research, Xerox Research Centre of Canada
Chretien is a materials scientist and research leader who specializes in electronic materials and 3D printing. She leads a multidisciplinary team of chemists, materials scientists and engineers at the Xerox Research Centre of Canada (XRCC). Her team at XRCC is creating revolutionary new materials the world has never seen before.
“What’s really exciting to me about 3D printing and printed electronics is not so much making conventional things in a different way, but the possibility to make things that were un-makeable before,” Chretien says. “I like to describe our work as being at the intersection of printed electronics and 3D printing. We want to produce unconventional objects by printing form and function together.”
Although 3D printing is a relatively new concept, Chretien believes the potential is massive—especially around avoiding material waste. Plus, the manufacturing portability could make it possible to take a small 3D printer up to a space station or down to a mine to produce things on the spot.
Her research team is developing new types of “smart” inks that can add functionality to everything from wearables to automotive. They’re also integrating materials with different printing technologies, such as coupling digital printing with robotic motion control […]

40 Years: Then and Now

By Toni Clayton Hine, Chief Marketing Officer, Xerox
Xerox released its iconic Brother Dominic commercial – perhaps the world’s first viral ad – during the Super Bowl back in 1977. To commemorate its special anniversary, we’ve unveiled a new two-minute film that builds on its legacy.

As you can see from the spot, a lot has changed in the way we work over the past 40 years. If one thing is clear, it’s that Brother Dominic can set the page free in a lot more ways today than in 1977. So we got to thinking… what else has changed since the 1970s?

From Laser Printing to Printing on 3D Objects: In 1977, Xerox introduced the first xerographic laser printer, adapting color technology by adding a laser beam – a technique that is still used in many of today’s printing and photocopying technologies. Today, Xerox innovations go beyond the flatland to enable printing on 3D objects like water bottles and football helmets.
The Evolution of “Must Haves”: In the 1970s, the electronic “must haves” included the first ever digital watch, the classic Atari 2600 game system and the first ever Sony Walkman prototype. Today, popular gadgets include virtual reality headsets, drones, driverless cars, and voice assistants powered by artificial intelligence and machine learning.
PARC’s Introduction Leads to Innovation: In 1970, Xerox’s Palo Alto Research Center (PARC) opened with a world-class team of experts in information and physical sciences who had a goal of creating “The Office of the Future.” Today, PARC’s recent innovations include printed ‘peel-and-stick’ sensors that collect and transmit data in our homes, offices, schools, hospitals, restaurants and stores.
Average Cost of Everyday Items: In 1970, the average cost of a loaf of bread was 25 cents, a new […]

Digital Transformation – Are You Missing an Opportunity?

Guest post by Richard Jones, General Manager, Financial & Professional Services, Xerox
Everywhere I look, companies are introducing new digital services and re-engineering business processes to capture the value of technology innovation. But with the challenges of this transformation, it’s also easy to see how opportunities get missed – even when you think you’ve got every base covered. One critical factor I frequently see overlooked is the value of document analytics in transformation programs.

Document analytics opens up a whole new level of business intelligence – it’s a real hidden gem. I work with a lot of companies that use document analytics to unlock strategic value through having a better understanding of how, where, and why documents are used across their business. They can benchmark these insights against their peers, identify the potential for additional savings and efficiency, and get a clear view of which processes need to be improved.
But for many other companies, document analytics still seems to slip through the net. In my view, that’s often down to a capability gap. On one hand, most Managed Print Service providers simply don’t have the expertise or tools required to leverage the value of analytics for transformation. And on the other hand, document analytics falls outside the traditional focus of most transformation consultants, so its value never even registers with them.
All too often, I hear how this results in missed opportunities and a frustrating, incomplete transformation process. By contrast, companies with top-performing transformation programs are taking a more intelligent approach. They’re able to tap into consultancy know-how that comes with a heritage in print and analytics, as well as a suite of proprietary tools. With this support, they understand the real value of document analytics and […]

Suffering from Information Overload? Your Mobile Device can Help

By: Erin Gillard
I can still remember the first time I heard the phrase ‘information overload.’ I was about 10 years old, in elementary school, and a substitute teacher was running out of steam trying to engage the class. He was sharing his personal experiences about the challenges of living and working in the “real world.”
I was intrigued by the concept that you could actually have too much information. After all, my own experience up to that age was that knowledge was hard-earned by sitting in a school desk, studying hard and annoying adults with a barrage of questions. Would there really be a time when I could have more information coming at me than I could handle?
The answer, of course, was yes. As I got older, there were times when I felt overwhelmed by the amount of information I was receiving. I’m not alone; according to a 2016 study by Pew Research Centre, at least 20% of people have experienced information overload at some point. It makes sense – we now have all the information we can seek at the touch of our fingertips on devices we carry with us everywhere we go.

What I learned was that the very device that gave me all of this information could actually help me to process it as well. For example, using productivity apps on my work device helps me save time and do more with all of the information coming at me during a busy workday.
As the infographic below shows, empowering employees to use mobile devices to process information at work is a powerful tool to help them combat information overload. And it’s something employees want to be able to do. According to a 2014 AIIM […]

SMBs are Ready to Embrace MPS

Small and medium businesses (SMBs) make up a significant portion of Canada’s economy. Despite having limited budgets and resources, SMBs are expected to produce the same level of service and products as their larger counterparts. This leads to SMBs having to find solutions to help keep costs under control. For many SMBs, using Managed Print Services helps them achieve this goal.
SMB Printing
Printing is a key task for many businesses, with as many as 75% of SMBs stating that print is one of the most-used business tools. Printing is also a tremendous strain on budgets and IT resources, often requiring frequent service, supplies and attention. With so much depending on printing, if a device goes down, it can have serious ramifications for the productivity of the office.

Rather than try to work within these strict limitations and setbacks, more SMBs are turning to Managed Print Services (MPS) for the management of their printers. This frees up money, IT resources, and staff to focus on more important revenue-generating tasks.
Managed Print Services
Whatever services you choose, you can expect to see simplified print management, reduced print costs and increased efficiency. Some common tasks performed by an MPS provider include:

Analysis of your print environment.
Modifications made to print environment to reduce costs and boost productivity.
Automatic supply refills.
Device management and maintenance.
Automated digital workflow solutions.

Through a combination of these services, you can achieve predictable expenses, increased printer uptime, and a decreased waste of resources.
More Services; Greater Satisfaction
More and more SMBs are realizing the benefits of outsourcing print to an MPS provider. Studies have shown that SMBs using basic Managed Print Services have a significant increase in satisfaction in the print environment. These businesses often then expand their services […]
