3 Tips to Make your Office More Environmentally Sustainable

Composting your way to a better planet
Picture the lowly bathroom paper towel. As paper, you might think it is at the end of the line, unsuitable for further recycling. Think again. Paper towel can be turned into compost, which reduces landfill and makes for a great soil conditioner — a natural alternative to fertilizer for gardens that also helps retain moisture.
For these reasons, the idea of composting is universally welcomed at their home. But what about the office? Will the process of moving the used paper towels from office to composter work, or will it interfere with business operations?
The Environment Committee at Xerox North American Inside Sales in Saint John, New Brunswick found a solution. The team began looking into composting in January 2015. They partnered with Fundy Region Solid Waste, who, like Xerox, is a member of Sustainable Saint John – an organization comprised of local businesses and organizations committed to knowledge sharing the most effective means of addressing environmental concerns.

“We met with our operation managers in the building to discuss their concerns, which included odors, fruit flies, the work process changes for the janitors, and keeping animals from getting in the bins outside,” says Brian Comeau, past Chair of the Saint John Green Team. “With these concerns satisfied, we talked to garbage removal companies and the cleaning staff to ensure a smooth roll out.”

Wish Your Office Equipment Worked Like Your Smartphone?

Xerox engineers introduce technology that integrates office equipment with the app world, making it easier to get work done
Most office employees face daily, repetitive tasks that slow the flow of work. Engineers at Xerox looked at those productivity barriers and designed ways individuals can use multifunction printers (MFPs) and apps to automate personal work processes.
Take a daily office chore such as scanning a document to your email, saving the file, and then uploading it to a cloud storage service such as Dropbox. That takes time. But, what if a personal work app streamlined the process by handling these tasks for you in fewer steps, enabling your MFP to serve as a smart, connected workplace assistant?

“We’ve created a series of capabilities –­ you could call it a toolkit – to enable users to customize printers and MFPs in a way that’s similar to how individuals use smart mobile devices to meet their personal needs,” said Keith Watson, part of Xerox’s Experience Design Group. “We’ve put the familiar interface of iOS or Android devices onto our ConnectKey®-enabled devices. But it’s more than embedding a tablet into our products, our innovations aim to address the specific needs of our customers.”
With a familiar tap or swipe, for example, users can translate a document, scan directly to a client folder in the cloud or complete a loan application – whatever their work requires. Enhancements to the ConnectKey interface are included in the 29 printers and MFPs Xerox launched yesterday.

SMBs need to measure their print environment before going digital

A recent survey shows 80 percent of companies plan to start shifting from paper to digital processes in 2017

They see paper-intensive tasks—like invoicing, reporting financials and forms for legal services and human resources—as a waste of time and resources that could be better used elsewhere.
That’s what the latest international research gathered by Xerox is telling us. A recent survey of more than 1,000 SMBs in the US, UK, France and Germany found that 80 percent companies plan to begin making the shift from paper to digital processes in 2017.
Six out of 10 respondents said their ties to paper have a significant drain on their bottom line. Their take on the situation matches up precisely with our math. Xerox has crunched the numbers and found that printing and document management typically makes up about 15 percent of an SMB’s IT budget and at least 12 percent of IT resources.
It’s encouraging to hear that so many SMBs have set their sights on making the digital transformation to realize savings and improve their workflow.
But it’s also important to set realistic targets. Shooting for a 100-percent digital workplace may seem like a fast track to efficiency and savings, but it’s not an achievable target for most companies.
The reality is that about 40 per cent of business processes are still largely document-driven and likely to remain that way.
That’s why, like all major decisions and changes that affect how a business runs, good planning will help SMBs create the best chance at success in their move to digitize paperwork wherever possible.
